Full job description

You shall be responsible for efficiently managing the Company's Human Resources administration, Government Relations, Office Administration and supporting Marketing activities, including but not limited to the following:

Human Resources Administration

  • Manage employee visa applications, renewals, cancellations, Emirates IDs and medical fitness procedures.
  • Maintain accurate physical and electronic employee records including contracts, visas, passports, certifications and personnel files.
  • Process onboarding, resignations, transfers and employee exits.
  • Register UAE National employees with GPSSA and process monthly contribution statements and end-of-service procedures.
  • Maintain employee leave records including annual leave, sick leave and attendance.
  • Prepare employment-related documents including offer letters, salary certificates, warning letters, employment confirmations and termination letters.
  • Coordinate staff medical insurance and Workmen's Compensation policies including enrolments, renewals and cancellations.
  • Process salary cards where applicable.
  • Calculate leave salary, airfare eligibility and other employee entitlements in accordance with company policy and UAE Labour Law.

Government Relations & Compliance

  • Process and monitor renewals of Trade Licence, Establishment Card, Ejari, Occupation Health Cards, MOFI licences and other statutory registrations.
  • Coordinate lease renewals for offices, warehouses and labour accommodations while monitoring notice periods.
  • Maintain expiry trackers to ensure timely renewals and avoid penalties.
  • Apply for customs duty exemptions through the Ministry of Industry and Advanced Technology (MoIAT).
  • Process document attestations through the relevant government portals.
  • Maintain records of all visa, government and statutory expenses.

Administration

  • Coordinate vehicle registration renewals and vehicle branding permits.
  • Process utility payments including DEWA, Etisalat, Salik and other corporate services.
  • Process company traffic fines and maintain supporting documentation.
  • Coordinate annual Hassantuk renewals and other company compliance requirements.
  • Maintain administrative trackers, company records and filing systems.
  • Assist management with administrative reporting and special projects.

Marketing Support

  • Assist in managing the company's social media platforms.
  • Prepare and schedule basic marketing posts and company announcements.
  • Assist with exhibitions, events, award submissions and promotional activities.
  • Coordinate marketing materials including brochures, presentations and catalogues.
  • Monitor online enquiries and direct them to the appropriate department.

Technology & AI

The Company is committed to adopting modern technologies to improve productivity.

You will be expected to:

  • Use Artificial Intelligence (AI) tools such as ChatGPT, Claude, Microsoft Copilot or similar applications for research, drafting documents, preparing reports, improving workflows and increasing administrative efficiency.
  • Learn and adopt new digital tools introduced by the Company.
  • Maintain confidentiality and exercise sound judgement when using AI platforms for company-related work.

Pay: From AED4,000.00 per month
