Job Brief

We are looking for a friendly and organized Office Administrator to join our team in Dubai. In this role, youll help keep our office running smoothly every day. Youll support the Director and team with daily operations, manage office supplies, handle payments, and assist with reports and presentations.

This position is perfect for someone who enjoys taking ownership, staying organized, and helping others succeed.

Responsibilities

• Provide administrative and coordination support to the Director, including scheduling, correspondence, and follow-ups.
• Prepare PowerPoint presentations, reports, and documents in a professional format.
• Coordinate with vendors, handle procurement, and process office-related payments on time.
• Support with basic accounting, recordkeeping, and petty cash management in coordination with the Finance team.
• Arrange travel, logistics, and meeting schedules for the Director and team members.
• Assist in HR and Admin functions such as attendance tracking, employee documentation, and engagement activities.
• Maintain smooth communication with both internal teams and external stakeholders while ensuring confidentiality.
• Track bills, reimbursements, and other administrative documents for timely submission.

Qualifications

• Bachelors degree in Business Administration, Commerce, or a related field.
• 13 years of experience in office administration, executive assistance, or coordination.
• Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Familiarity with AI productivity tools and Canva is a plus.
• Excellent communication skills in English (Arabic preferred).
• Basic knowledge of accounting and invoice handling.
• Strong organizational and multitasking abilities.
• Must hold a Dependant Visa and be based in the UAE.
• Able to work independently and maintain professionalism at all times.
