Executive Assistant (REMOTE) - INSPIRENTALS
INSPIRENTALS is a very rapidly growing furnished apartment operator focusing on Abu Dhabi market, leveraging leading global channel platforms like Airbnb, Booking.com or Bayut, to name a few.
INSPIRENTALS is on the mission to leverage its experience from other cities in Europe and the UAE and attitude of excellence to contribute to the dynamic growth of Abu Dhabi Real Estate, rental and holiday home market. We are here to support busy corporate professionals and freelancers, as well as other guests and tourists in their journey to discover and / or be a part of Abu Dhabi success story. On the other side of the equation, we support landlords, taking care of all the rental hassle as well as providing exceptional oversight, flexibility and enhanced investment returns.
We are playing in the market niche for high-standard fully equipped and furnished apartments in Abu Dhabi, focusing on corporate short-term and mid-term guests, as well as peak season tourist tapping to Formula 1, New Year’s Eve, Ed Sheeran’s concerts and other sport and cultural events. Our careful preparation of the apartments, operational excellence and unparalleled customer level of service help us in creating wonderful experiences for our busy guests. To make it happen, we also apply best practices from other markets, modern but practical designs and cutting-edge smart home solutions.
We are professionals, landlords and investors ourselves, hence it’s easy for us to develop long-term trust-based partnerships with landlords whose properties we manage as well as wider network of stakeholders like real estate agents, designers, direct channel referral network and corporate partners.
INSPIRENTALS team is growing and we’re looking for a well-versed A-players who want to grow with the best in the industry. We’re looking to fill vacancies for multiple roles and fuel our continued rapid growth. One of the key hires is Executive Assistant to Managing Director, where we're open to remote work mode.
Executive Assistant to Managing Director is a key employee that makes things happen and get things done. He or she is very resourceful, immediate to answer and exhibits can-do approach. In fact, the ideal candidate thrives in challenging situations. The role is ideal for a candidate that has a previous Executive Assistant / Personal Assistant / Admin and having a full skillset that he or she would like to leverage in a young, less hierarchical company, making her feel a part of a bigger success story within a fast-growing organization.
Job profile:
PROCESS IMPROVEMENT
- Thoroughly understand Managing Director’s and Team’s processes, and ultimately proactively identify and propose ways to support these processes
- Review, understand, codify into SOP, execute, and ideally automate, ongoing processes passed on by senior colleagues, e.g. guests registration with Government, payments proof collection, preparation of daily/weekly reports
- Keep a track of daily/weekly/monthly schedule and make sure relevant activities are attended to (e.g. expenses submissions, salary transfers, landlords payouts, taxes submission)
COMPANY’S IMAGE
- Manage Social Media platforms – first herself, then indirectly through external agency or a freelancer
- Create content for Social Media and Social Groups (e.g. new properties available, new promotions, articles about Abu Dhabi and the industry, interesting posts from our partners)
SALES SUPPORT
- Manage, entertain and nurture Social Groups with our key partners (e.g. WhatsApp)
- Attend clients meetings with Sales Director (incl. taking a lead on preparatory brief for Sales Director and open items agreed on during a meeting)
- Organize and coordinate meetings, events, and conferences
HR & TALENT
- Spearhead recruitment for new roles and candidates (job posting, screening, calling, etc)
- Maintain a great working atmosphere within the team (e.g. going-outs, birthdays)
ONE-OFF TASKS AND ONGOING SUPPORT
- Run independent research and form recommendations (e.g. new suppliers, new standard supplies)
- Register guests in relevant government and community portal
- Support other team members, as per business requirements
- Handle confidential and sensitive information with discretion.

Nice-to-have characteristics:
- Prior short-term rental / holiday home / real estate experience
- Command of typical short-term rental / holiday home channels (Online Travel Agency like Airbnb, Classifieds like Bayut, etc.)
- Ability to speak in other language widely spoken in the UAE
