The Role
  • Provide good record keeping of all seafarer’s personal data, certificates, travel documents and appraisal both physical and electronic file folder organized for easy retrieval and reference. • Maintain regular update and accurate data of seafarers thru Company’s database for payroll and crewing personnel, with emphasis on seafarers’ date of engagement, date of embarkation / disembarkation (including transfer) to their respective vessel of assignment, salaries and contracted tour of duties. • Maintain updated records with assessment or interview notes for all applications pertaining to engagement onboard vessels for the various ranks received either from Manning Agents or via direct applicants. • Review / Analyse and provide recommendation(s) to crew payroll as prepared by the Payroll Team. • In-charge of COE / COR application in liaison with the respective Flag state and Agencies to ensure all Officers and Crew hold Flag State Endorsement for the vessel they have been assigned too. • Receive, review and process seafarer’s reimbursement claims and ensure prompt payment once satisfactorily processed. • Initiate Embarkation Checklist for Crewing Coordinator use / guidance.? Crewing coordinator to utilize the embarkation checklist whenever a crew signs on a vessel. • Officers and Ratings follow up schedule and sign on procedure. • Follow up Ticketing, Visas, Travel and Hotel reservation. • Follow up crew under medical assistance. • Keeping all documents and certificates of all joiners, verification that same are valid and as per the requirements. The Form “Curriculum Vitae for crew” SMS-022-03 form should be completed and handed over to the seafarer who should then arrange all documents as per the Form “Checklist National / Flag Certificates of officers and ratings” SMS-023-03. A proper file for each single person must be maintained, containing hard copies of all certificates and documents and must be updated on a regularly basis. • All officers / ratings joining the company are evaluated properly (collecting and checking of all necessary documents, certificates and his curriculum as per STCW and company's requested courses) and obtaining confirmation from the Crew Manager. • Ensure that all joiners are briefed regarding terms and conditions of the company, that all formalities as mentioned in the Form SMS-024-02 "Ship's Personnel Pre-Departure Check list,” are completed before the officer / rating proceeds to join the ship which includes familiarization with the Company SMS and vessel. • Follow-up of personnel disembarked from ship on medical grounds and informing the next of kin. • All joiners must have undergone the required medical examinations and drug testing and have the official confirmation reports. • Ensure that all joiners have taken the necessary inoculations and their health books are updated and valid. • Ensure that all joiners are supplied with the necessary uniforms / boiler-suits etc. • Preparing payrolls for seafarers.

Qualifications and Education: • Graduate /Nautical knowledge. • Ability to teamwork. • Good knowledge of computers.
