Position Overview

The Live-In Multilingual Executive Personal Assistant & Lifestyle Manager provides comprehensive, discreet, and highly personalized support to the VIP/Owner in all aspects of her professional and personal life.

The position requires the employee to reside in the employer's residence and remain available according to the agreed work schedule and employment arrangements, including during travel and special events. The role involves managing daily activities, communications, travel, appointments, personal arrangements, lifestyle requirements, and administrative matters from A to Z.

The ideal candidate must be highly organized, exceptionally discreet, multilingual, flexible, well-presented, service-oriented, and capable of working independently while maintaining the highest standards of confidentiality and professionalism.

Key Responsibilities1. Executive & Personal Assistance

  • Manage the VIP/Owner's daily schedule, calendar, appointments, meetings, and commitments.
  • Organize and prioritize daily activities according to the employer's requirements.
  • Coordinate professional and personal appointments.
  • Prepare daily schedules, reminders, itineraries, and activity plans.
  • Monitor deadlines, commitments, and important dates.
  • Handle personal errands and administrative tasks as assigned.
  • Anticipate the employer's needs and proactively arrange required services and solutions.
  • Maintain an organized system for personal documents, schedules, contacts, and important information.

2. Multilingual Communication & Translation

  • Provide professional interpretation and translation between the employer and third parties.
  • Translate emails, messages, documents, correspondence, menus, travel information, and other materials when required.
  • Communicate with hotels, airlines, restaurants, medical facilities, service providers, government entities, staff, and other contacts on behalf of the employer.
  • Assist the employer in international travel where language support is required.
  • Maintain accuracy, professionalism, and confidentiality when translating sensitive information.

3. Travel Management & Accompaniment

  • Arrange domestic and international flights, private aviation or other transportation as required.
  • Coordinate hotel, villa, residence, restaurant, and other accommodation arrangements.
  • Prepare complete travel itineraries and schedules.
  • Arrange airport transfers, drivers, transportation, luggage, and travel-related services.
  • Coordinate visas, travel documents, reservations, and other requirements.
  • Pack, organize, and prepare personal items and travel essentials when required.
  • Accompany the VIP/Owner during domestic and international travel.
  • Remain available to coordinate the employer's requirements throughout business and personal trips.
  • Coordinate with hotels, airlines, chauffeurs, security personnel, travel agents, and other service providers.
  • Handle last-minute changes, cancellations, and emergency travel arrangements efficiently.

4. Personal Lifestyle Management

  • Coordinate the employer's personal and lifestyle requirements.
  • Arrange restaurants, private dining, events, entertainment, shopping, beauty appointments, wellness services, and other activities.
  • Coordinate personal shopping and purchases as requested.
  • Maintain records of preferences, sizes, brands, dietary requirements, and other personal information where appropriate.
  • Organize gifts, flowers, special occasions, celebrations, and personal events.
  • Coordinate household and personal services with relevant staff and service providers.
  • Ensure that the employer's daily routine is organized and comfortable.

5. Personal Care Coordination

  • Assist the employer with organizing personal care routines and appointments where required.
  • Arrange hair, beauty, spa, wellness, medical, dental, and other personal appointments.
  • Coordinate personal care professionals and service providers.
  • Assist with preparation of clothing, personal items, toiletries, and daily requirements when requested.
  • Assist with meals and refreshments according to the employer's preferences and instructions.
  • Coordinate dietary requirements and special meal arrangements.
  • Provide personal assistance only within the duties agreed under the employment contract and applicable regulations.

6. Email & Correspondence Management

  • Monitor and organize the employer's emails and correspondence as authorized.
  • Draft, translate, and respond to routine communications on behalf of the employer.
  • Prioritize important and urgent communications.
  • Coordinate correspondence with business associates, service providers, hotels, airlines, staff, and other contacts.
  • Maintain strict confidentiality regarding all personal and business communications.
  • Follow up on pending requests and ensure timely responses.

7. Household & Residence Coordination

  • Coordinate with household staff, drivers, chefs, cleaners, security personnel, maintenance providers, and other service providers.
  • Monitor household-related requests and ensure they are followed up appropriately.
  • Coordinate maintenance, repairs, deliveries, appointments, and service visits.
  • Assist in organizing the employer's personal space and daily requirements.
  • Ensure that requested items, supplies, meals, clothing, and personal necessities are available when required.
  • Maintain professional boundaries and respect the privacy of the employer and household.

8. Wardrobe & Personal Organization

  • Assist with organizing clothing, accessories, luggage, and personal belongings.
  • Prepare outfits and personal items according to the employer's schedule, travel plans, and events where requested.
  • Coordinate dry cleaning, tailoring, alterations, laundry, and related services.
  • Assist with packing and unpacking during travel.
  • Maintain an organized inventory of personal items where required.

9. Events & Social Engagements

  • Coordinate invitations, reservations, events, dinners, meetings, and social engagements.
  • Prepare schedules and logistics for events.
  • Accompany the employer to events when required.
  • Coordinate transportation, seating, reservations, attire requirements, and other arrangements.
  • Communicate professionally with guests, event organizers, venues, and service providers.

10. Financial & Administrative Support

  • Assist with personal purchases and payments as authorized.
  • Maintain records of receipts, invoices, bookings, and expenses.
  • Coordinate approved payments and follow up on outstanding invoices.
  • Maintain accurate records of expenses incurred on behalf of the employer.
  • Handle cash, cards, or other financial instruments only when specifically authorized.
  • Never disclose financial or personal information to unauthorized individuals.

11. Medical & Wellness Coordination

  • Coordinate medical, dental, aesthetic, wellness, fitness, and other appointments as requested.
  • Maintain appointment schedules and reminders.
  • Arrange transportation and accompanying services where required.
  • Coordinate with clinics, hospitals, doctors, therapists, nutritionists, trainers, and wellness providers.
  • Maintain strict confidentiality concerning all personal and medical information.

12. Communication & Representation

  • Represent the employer professionally when communicating with third parties.
  • Receive and convey messages accurately.
  • Coordinate requests between the employer and household/business personnel.
  • Maintain a calm, diplomatic, and professional manner at all times.
  • Protect the employer's reputation, privacy, and personal interests.
  • Never make unauthorized commitments or decisions on behalf of the employer.

13. Confidentiality & Privacy

  • Maintain absolute confidentiality regarding the employer's personal, family, professional, financial, medical, travel, and social information.
  • Never disclose, photograph, record, share, or publish confidential information without authorization.
  • Do not discuss the employer, household, travel plans, guests, activities, or personal matters with third parties.
  • Follow all confidentiality, privacy, security, and social media requirements established by the employer.
  • Sign and comply with a separate confidentiality/NDA agreement where required.
  • Maintain strict discretion when dealing with VIPs, celebrities, executives, family members, guests, and business associates.

14. Emergency & Problem-Solving Support

  • Respond calmly and efficiently to urgent situations.
  • Coordinate emergency transportation, medical assistance, travel changes, or other urgent services when required.
  • Maintain important emergency contacts and information.
  • Resolve unexpected problems quickly and discreetly.
  • Inform the employer immediately of significant or urgent matters.
  • Be flexible and capable of adapting to changing schedules and last-minute requirements.

Live-In & Travel Requirements

  • The employee will reside in the employer's private residence as part of the position.
  • The employee may be required to accompany the VIP/Owner during domestic and international travel.
  • Accommodation arrangements during travel will be determined by the employer in accordance with the employment arrangement.
  • The employee must be flexible regarding changes to schedules, travel plans, events, and personal requirements.
  • Availability and working hours will be managed in accordance with the employment contract and applicable UAE employment regulations.
  • The employee must maintain professional conduct and appropriate boundaries within the private residence at all times.

Multilingual Requirements

The candidate must have excellent fluency in English, both written and spoken.

Fluency in two or more additional languages is highly preferred, depending on the employer's requirements.

Excellent interpretation, translation, communication, and interpersonal skills are required.

Qualifications & Experience

  • Previous experience as a Private Personal Assistant, Executive Assistant, VIP Assistant, Lifestyle Manager, Butler/Personal Assistant, or similar role.
  • Experience working with VIPs, HNWIs, celebrities, executives, entrepreneurs, or private families is highly preferred.
  • Minimum 3–5 years of relevant experience preferred.
  • Previous live-in experience is an advantage.
  • International travel experience is highly desirable.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • High level of discretion and emotional intelligence.
  • Excellent knowledge of travel arrangements and lifestyle services.
  • Strong computer skills, including email, calendar management, Microsoft Office, and communication applications.
  • Valid passport and ability to travel internationally when required.

Due to the highly confidential nature of the position, the employee shall maintain complete confidentiality concerning the employer and her private affairs. Any unauthorized disclosure of information, photographs, recordings, documents, travel details, communications, or personal matters may be considered a serious breach of employment obligations.

The employee is expected to maintain the highest standards of integrity, discretion, loyalty, professionalism, personal presentation, and respect for privacy at all times.

Note: The duties listed above are not exhaustive. The employee may be required to perform other reasonable duties and responsibilities related to the position, consistent with the nature of a Live-In Multilingual Executive Personal Assistant & Lifestyle Manager, as assigned by the VIP/Owner and subject to the employment contract and applicable UAE laws.

Pay: AED15,000.00 per day
