Full job description

The Nursery Coordinator is responsible for supporting and organizing the nursery’s daily operations, coordinating between management, staff, and parents, following up on registration, marketing, customer service, and complaints, as well as preparing reports and administrative files.

The role is primarily executive, coordinating, and supportive and, under normal circumstances, does not include authority to make decisions, grant approvals, or sign documents. Direct supervision of the teaching staff remains primarily with the Nursery Manager.

Duties and Responsibilities

1. Administrative and Organizational Tasks

Prepare and organize required files and reports.

Archive files electronically according to approved templates.

Draft letters and circulars and submit them for approval.

Organize the Nursery Manager’s appointments and meetings.

Follow up on compliance with administrative forms and procedures.

Organize the archive of approved instructions and decisions.

Ensure administrative files for students and staff are complete.

2. Marketing and Registration

Communicate with prospective clients and respond to nursery-related inquiries.

Follow up on new registration requests and convert interested clients into nursery visits.

Follow up with clients who visited the nursery but did not register.

Conduct daily calls and follow-ups according to the nursery’s plan.

Continuously update client information and the status of each client.

Support the implementation of approved marketing campaigns and offers.

Track registration targets and report results to the Nursery Manager.

Coordinate with the marketing and sales team when required.

Monitor the client database and ensure that no prospective client is left without follow-up.

3. Communication, Customer Service, and Complaints

Communicate with parents regarding children’s absences.

Respond to general inquiries according to approved information and policies.

Receive and guide parents.

Record and follow up on parents’ complaints.

Contact parents regarding complaints within approved authorities and procedures.

Escalate complaints requiring a decision or administrative intervention to the Nursery Manager.

Follow up on complaints until closure after the proposed solution is approved by the Manager.

Monitor official communication groups and respond to inquiries within the scope of authority.

Send official reports and responses after the Manager’s approval.

4. Daily Operational Tasks

Monitor staff attendance and departure and report observations.

Monitor students’ daily attendance and absence.

Prepare the daily administrative task list.

Follow up on the implementation of the Nursery Manager’s instructions.

Monitor the nursery’s operational needs and report them to the Manager.

Coordinate between departments and staff to ensure smooth workflow.

5. Supporting Financial Tasks

Follow up on the collection of new fees and overdue payments.

Communicate with parents regarding outstanding fees.

Track payment cases and escalate overdue accounts to management.

Coordinate with the Finance Department.

Under normal circumstances, the role does not include receiving money, approving discounts, or adjusting fees.

6. Government Tasks and Data

Follow up on government correspondence and report it to the Nursery Manager.

Monitor official emails and correspondence from relevant authorities and inform the Manager of important matters.

Prepare documents required by government entities.

Update student and parent data.

Ensure all required information and documents are complete.

7. Reports and Follow-up

Prepare a daily or weekly summary of completed and pending tasks.

Prepare tracking sheets for registrations, clients, and complaints.

Report the number of calls, follow-ups, visits, and registrations.

Monitor the nursery’s required performance indicators.

Standardize approved administrative and customer service response templates.

Coordinator’s Controls and Authorities

Under normal circumstances, the Nursery Coordinator may not:

Make administrative or operational decisions independently.

Sign or approve official documents.

Approve discounts or adjust fees.

Issue warnings or penalties to staff.

Conduct or participate in official investigations.

Evaluate staff or approve their evaluations.

Issue binding administrative instructions to staff on her own initiative.

Make final decisions regarding complaints without referring to the Nursery Manager.

All final decisions and approvals remain with the Nursery Manager or the relevant management authority.

Delegation During the Nursery Manager’s Absence

If the Nursery Manager is absent due to leave, an official assignment, or an emergency, the Coordinator may be formally and temporarily delegated specific authorities to ensure continuity of operations.

The delegation must:

Be written and explicit.

Be limited to a specified period and scope.

Cover only urgent operational duties that cannot be postponed.

End automatically once the Nursery Manager returns.

Authorities that may be temporarily delegated include:

Following up on daily operational workflow.

Assigning urgent tasks to staff.

Responding to urgent parent inquiries within approved policies.

Receiving and documenting urgent complaints.

Monitoring daily attendance and departure and documenting observations.

Authorities That Always Remain With the Nursery Manager

Evaluating staff and approving evaluation results.

Issuing warnings or penalties and conducting official investigations.

Final approval of substantive complaint resolutions.

Signing or giving final approval to official documents.

Financial decisions related to discounts or fee adjustments.

Pay: AED4,000.00 - AED7,000.00 per month
