Job Purpose

To assist and support the University of Sharjah’s community members fulfill their UAE residency application requirements, including issuing and/or renewing visit visa, residency, and national ID for students, academic and non-academic staff members, and their families.


Main accountabilities & expectations


  • Be the point of contact for students, academic and non-academic staff members, and answer their enquires related to UAE visas and residency via phone, email or in-person.
  • Prepare the necessary documents required for visa/entrance applications, residency applications, and medical examination for academic and non-academic staff members (current and new), as well as their family members.
  • Deliver the complete documents required for visa and residency applications for new employees to the General Directorate of Residency and Foreigners Affairs, in order to start processing their residencies and national IDs.
  • Manage and follow up on the documents required for security clearance for newly appointed staff members (academic and non-academic), and update the concerned persons(s) about the clearance status.
  • Follow up the status of visa, residency, and national ID with the concerned sector, and inform employees of their current status and any further requirements.
  • Communicate with residents regarding their visa and/or ID renewals, and handle the process of applying for and renewing national ID cards, ensuring they are handed to the concerned employee in a timely manner.
  • Manage and update any related databases/sheets, and ensure that all resident details are recorded and available for future references.
  • Build and maintain good relationships with the concerned authorities in order to ensure all transactions are completed smoothly and in a timely manner, and to promote the image of the university by representing it in a suitable and positive way.
  • Stay up-to-date on latest relative information, directives and decisions regarding entrance to the UAE, or residency requirements, in order to avoid any complications or delays.
  • Maintain the confidentiality and security of all employee data including personal and financial information.
Prepare any reports, lists and statistics when requested by the line manager.


Required Skills
  • Excellent oral and written communication skills and the ability to prepare professional documents, in both Arabic and English.
  • Good interpersonal skills.
  • Time management skills.
  • Ability to handle confidential information with discretion.
  • Ability to work under pressure and extra hours as and when required.
  • Ability to organise and prioritise multiple tasks and produce reports under strict guidelines.
  • Has strength and endurance to be able to handle the physical demands of the job.
  • High integrity and openness combined with commitment to good governance.
  • Inquisitive mind and passion for excellence.
  • Flexibility and ability to function effectively as part of a team.
  • Proficiency in MS office applications.

Desirable Requirements


  • Minimum of a Diploma in Public Relations, Management or a relevant discipline.
  • 2-4 years of UAE experience in similar role preferably in higher education institutions.
Priority is to UAE Nationals.
