About the Role

We are a growing luxury furniture and home décor business based in Dubai, looking for an experienced, grounded Operations and Procurement Team Lead to join our team in Dubai Investment Park.

This is not an entry-level position. We are looking for someone who has already led a team, who understands what disciplined process execution looks like in practice, and who is ready to bring structure, accountability, and stability to a group of capable young professionals.

The person we are hiring will own end-to-end procurement and inventory operations, manage and develop a small team of junior staff, and serve as the primary operational point of contact between the team and senior management. You will be expected to resolve problems at your level, present solutions rather than problems, and ensure that our Managing Director can operate with full confidence that this function is running correctly without daily oversight.

Key Responsibilities

Procurement & Supplier Management

– Own end-to-end procurement across an established supplier network — from purchase order issuance through to container receipt and warehouse handover

– Ensure all purchase orders and deposit payments are issued accurately and on time, every time

– Manage supplier communication proactively — shipment updates, documentation and clearance — without requiring escalation

– Meet defined lead times for LC preparation, payments and shipping milestones

Inventory & Stocktake Coordination

– Plan and execute monthly cycle counts with published scope, clear assignments and signed-off closure notes

– Coordinate with the warehousing team on incoming container checklists, warehouse inspections and system updates

– Maintain procurement and inventory trackers in Excel — accurate, current and reconcilable against ERP records at any point

– Ensure data entry and ERP system records are complete, accurate and current

– Own the definition of done: signed count sheets, variance reports, system updates and closure notes filed on time

Team Leadership & Development

– Lead, coach and hold accountable a small team of junior operations staff — the majority of whom are native Hindi speakers

– Set and maintain clear process standards — enforce existing SOPs and checklists without shortcuts

– Identify underperformance early and address it directly; do not allow known issues to drift without correction

– Build team capability through consistent guidance, modelling correct behaviour and structured follow-through

Operational Ownership

– Act as the first point of resolution for operational problems — escalate only what genuinely requires Director-level input

– Provide structured, solution-oriented updates to senior management rather than raw problems

– Maintain accurate documentation and written communication trails across procurement, inventory and team management activities

Tools & Systems

– Excel is the primary daily tool of this role — fast, fluent use is essential, working in large, structured, multi-sheet workbooks rather than ad hoc files

– Build and maintain Excel trackers for purchase orders, supplier schedules, shipments, inventory, cycle counts and variance reports — kept current and reconcilable against ERP records at any point

– Required Excel skills include lookups (VLOOKUP/XLOOKUP/INDEX-MATCH), pivot tables, SUMIFS/COUNTIFS, conditional formatting, filters and sorts, data validation and basic IF logic

What We Are Looking For

Essential Requirements

– Strong, fluent Excel proficiency — this is a hard requirement. The role runs on Excel every day, and candidates who are not highly capable in Excel will not be considered (see Tools & Systems above for specifics)

– Minimum 5 years in operations, procurement, supply chain or inventory management

– Minimum 3 years in a team lead or supervisory capacity — with direct, demonstrable experience managing performance

– Background in a structured, process-driven corporate or mid-to-large business environment

– Proven ability to follow and enforce SOPs and checklists consistently — without shortcuts or improvisation

– Clear, direct, written-first communication style in English

– Hindi language proficiency strongly preferred — the junior team is predominantly Hindi-speaking

– UAE or GCC experience strongly preferred

– Proficiency in ERP systems; Odoo experience is an advantage

– Background in retail, trading, furniture, home goods, logistics or a product-import business preferred
