Full job description

We are seeking a highly organized, proactive, and versatile HR Assistant to join our team. The successful candidate will manage daily priorities systematically, ensuring absolute compliance with UAE regulations, seamless workspace operations, and meticulous execution of internal HR processes across all regional centers.

Key Responsibilities

  • Visa & Immigration Processing: Handle the end-to-end processing of employment visas, renewals, cancellations, medical checks, and Emirates ID applications for staff across all regional branches (Dubai, Abu Dhabi, Al Ain, Ras Al Khaimah).
  • Corporate Compliance & Licensing: Coordinate and execute the timely renewal of corporate trade licenses, commercial registrations, tenancy contracts, and office parking permits with municipal and federal authorities.
  • Labor Relations: Manage submissions, documentation updates, and compliance metrics through the Ministry of Human Resources and Emiratisation (MOHRE) and GDRFA portals.

Office Administration & Workspace Continuity

  • Workspace Maintenance: Manage daily office operations and facilities maintenance for our headquarters, and coordinate support requirements for regional branches.
  • Vendor & Supply Management: Procure office utilities, stationery, pantry supplies, and corporate materials; manage relationships and service level agreements (SLAs) with office vendors and maintenance contractors.
  • Front Office Coordination: Assist with incoming corporate correspondence, couriers, and welcoming external guests or partners with a polished, professional demeanor.

Core HR Administration & Document Management

  • Platform Management: Maintain, update, and audit accurate digital employee records on our central HR platform, ensuring compliance records and visa files are systematically updated.
  • Document Drafting: Assist in drafting and formatting official company documents, including employment contracts, non-disclosure agreements (with a standard one-year term), and internal operational memos.
  • Onboarding Execution: Execute structured onboarding checklists to ensure new hires experience a warm, efficient, and legally compliant transition.
  • Employee Support: Act as a dependable point of contact for routine employee inquiries regarding company policies, visa status updates, and leave balances (ensuring alignment with our cash payout model for unutilized annual leave).

Cyclical Performance & Operational Support

  • Performance Tracking: Coordinate schedules for regular performance workflows, tracking the completion of bi-yearly performance evaluations and monthly development sessions.
  • Organizational Charts: Assist in updating and organizing company organizational charts to ensure reporting lines remain clear and accurate across all regional centers.

Requirements & Qualifications

  • Experience: 3–5 years of proven experience in a combined HR, PRO, and Office Administration role within the UAE.
  • Technical Proficiency: Strong hands-on experience navigating UAE government portals (MOHRE, GDRFA, Smart Channels, Tasheel, Amer), modern digital HR platforms, and cloud-based productivity tools.
  • Knowledge: Comprehensive, up-to-date understanding of UAE Labor Law, immigration procedures, and corporate licensing/leasing regulations.
  • A valid UAE Driving License (preferred)
  • Language Skills: Fluent in English (written and verbal) with an exceptional, professional tone. Working proficiency in Arabic is highly advantageous.
  • Attributes: Exceptional organizational skills with a meticulous eye for detail; able to multi-task across administrative and compliance functions seamlessly while maintaining absolute integrity with sensitive data.

Pay: AED3,000.00 - AED4,000.00 per month
