Role Overview

We are seeking an exceptional Executive Assistant & Business Operations Manager to become the right hand to the CEO across both ZRC International (UAE) and ZR Consultants (UK).

This is a broad, high-impact role combining executive support, operations management, business development coordination, marketing, recruitment, research and client engagement.

The successful candidate will help drive the day-to-day growth and operation of both businesses, ensuring opportunities are pursued, proposals are delivered, recruitment activities are managed, marketing campaigns are executed and internal operations run smoothly.

This role would suit an ambitious, commercially minded individual who wants far more than a traditional administrative position. We are looking for someone who enjoys taking ownership, solving problems independently and contributing ideas that help grow the business.

You will work directly with the CEO and be trusted to manage priorities across multiple workstreams, often with minimal supervision.

Key Responsibilities

Executive Support

  • Manage senior leadership diaries, correspondence and scheduling with precision and discretion.
  • Act as a central coordination point across the UAE practice, ensuring nothing falls through the cracks.
  • Prepare briefing materials, agendas and follow-up actions for internal and client-facing meetings.
  • Handle confidential business information with the highest level of professionalism.
  • Identify and resolve operational bottlenecks proactively, without waiting to be directed.

Business Development and Marketing

  • Conduct market and prospect research to support strategic client targeting across the UAE and wider region.
  • Identify new client opportunities and support outreach activities using tools such as Apollo and LinkedIn.
  • Maintain and update company profiles across supplier portals and procurement platforms.
  • Monitor portals for live opportunities and coordinate bid registrations.
  • Prepare weekly commercial and operational reporting packs for senior leadership.
  • Support development of targeted marketing campaigns aimed at blue-chip and government-aligned organisations.
  • Create and maintain professional client-facing proposals and presentation materials.
  • Manage digital content across LinkedIn, X and the ZRCI website, ensuring accuracy and brand consistency.
  • Plan and execute content calendars aligned with business objectives.
  • Design branded visual assets using Canva and similar tools.
  • Arrange meetings with prospective clients and manage follow-up communications.

Recruitment and Talent Coordination

  • Support the end-to-end recruitment lifecycle including drafting role advertisements, screening applicants and coordinating interviews.
  • Maintain recruitment trackers and candidate records across active pipelines.
  • Manage candidate pipelines via platforms such as Indeed and LinkedIn.
  • Format CVs and prepare professional candidate profiles for client submissions.

Proposal & Bid Management

  • Draft, coordinate and quality review client proposals, RFP responses and bid submissions.
  • Maintain proposal libraries, credentials and case study repositories.
  • Coordinate inputs from internal and external subject matter experts.

Research & Intelligence

  • Conduct market, industry and competitor research.
  • Identify target organisations, decision-makers and growth opportunities.
  • Prepare briefing packs for meetings, conferences and client engagements.

Operations

  • Support the operational management of both UK and UAE entities.
  • Track key business activities, opportunities, proposals and client engagements.
  • Maintain internal trackers, action logs and management reporting.
  • Help implement new processes and systems to improve efficiency and scalability.

AI

  • Leverage AI tools to improve productivity, content creation, research and business operations.

Client & Relationship Management

  • Maintain CRM records and client contact databases.
  • Track follow-up actions arising from meetings and business development activities.
  • Support the preparation and coordination of client meetings, proposals and presentations.
  • Ensure a professional and responsive client experience.

Events, Travel & Logistics

  • Coordinate business travel, accommodation and meeting arrangements.
  • Support planning and logistics for conferences, exhibitions, networking events and client engagements.
  • Manage event registrations and follow-up activities.

Qualifications and Skills Required

  • Experience working in the UAE market, including familiarity with regional business culture and stakeholder environments.
  • Minimum 5 years' experience supporting senior leaders within management consulting, professional services, advisory, financial services or similar knowledge-based organisations. (mandatory).
  • Proven EA or senior business support experience in a fast-paced, professional environment.
  • Exceptional written and verbal English communication skills with the ability to produce client-ready proposals, presentations and business communications without supervision.Strong proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
  • Confident managing multiple competing priorities independently and to a high standard.
  • Applicants must have demonstrable experience preparing PowerPoint presentations, client proposals and executive-level communications.
  • Discreet, trustworthy and professional when handling sensitive information.
  • Currently located in the UAE.

Preferred

  • Exposure to GRC, Internal Audit or regulatory compliance environments.
  • Prior experience in a scaling consultancy or founder-led advisory firm.
  • Familiarity with Apollo, supplier portals or CRM platforms.
  • Canva or equivalent design tool proficiency.

Technical Skills

  • Proficient in Microsoft Office suite, including PowerPoint for proposal and presentation development.
  • Confident using digital outreach and prospecting tools including Apollo and LinkedIn.
  • Able to create polished visual assets and branded materials independently.
  • Experience with recruitment platforms such as Indeed and LinkedIn Recruiter.

Soft Skills

  • Highly organised with sharp attention to detail and strong follow-through.
  • Commercially aware and genuinely curious about business growth and client development.
  • Proactive and self-sufficient; you do not wait to be told what needs doing.
