Job Description: Personal Assistant to the CEO

Job Title: Personal Assistant (PA) to the CEO
Department: Executive Office
Reporting To: Chief Executive Officer (CEO)
Location: Dubai, UAE

Job Summary

The Personal Assistant to the CEO provides high-level administrative and executive support to the CEO by managing schedules, coordinating meetings, handling confidential information, and ensuring the smooth execution of daily business activities. The ideal candidate is highly organized, proactive, discreet, and capable of working in a fast-paced environment.

Key Responsibilities

  • Manage the CEO's calendar, appointments, meetings, and travel arrangements.
  • Coordinate internal and external meetings, prepare agendas, and record meeting minutes.
  • Screen phone calls, emails, and correspondence, responding or escalating as appropriate.
  • Draft, review, and prepare professional letters, reports, presentations, and other business documents.
  • Handle confidential information with the highest level of discretion and professionalism.
  • Act as the primary point of contact between the CEO and internal/external stakeholders.
  • Coordinate with departments to follow up on action items, deadlines, and project updates.
  • Organize business travel, including flights, hotel bookings, visas, and itineraries.
  • Prepare expense reports and maintain records of executive expenses.
  • Assist in planning company events, executive meetings, and client visits.
  • Maintain filing systems, both electronic and physical.
  • Conduct research and compile information for executive decision-making.
  • Monitor and prioritize tasks to ensure timely completion.
  • Perform other administrative and executive support duties as assigned by the CEO.

Qualifications

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Minimum 5 years of experience as a Personal Assistant, Executive Assistant, or similar executive support role.
  • Previous experience supporting C-level executives is highly preferred.
  • UAE experience is preferred.

Pay: AED8,000.00 - AED12,000.00 per month
