Job Summary

IIQAF Group is seeking a highly organized, creative, and customer-focused Event Coordinator to join our hospitality team in Dubai. The successful candidate will be responsible for planning, organizing, coordinating, and executing corporate events, conferences, weddings, exhibitions, meetings, banquets, private functions, and hospitality events while ensuring exceptional guest experiences and seamless event operations.

This role is ideal for professionals with experience in event management, hospitality, conference planning, banquet operations, wedding coordination, corporate events, venue management, guest services, event planning, and customer relationship management.

Key Responsibilities

  • Plan, coordinate, and execute corporate events, conferences, seminars, exhibitions, weddings, banquets, and private functions.
  • Meet with clients to understand event objectives, budgets, timelines, and special requirements.
  • Prepare event proposals, quotations, contracts, event schedules, and operational plans.
  • Coordinate with hotels, venues, suppliers, decorators, caterers, entertainment providers, photographers, and transportation partners.
  • Manage venue setup, event logistics, seating arrangements, audiovisual requirements, signage, and event materials.
  • Oversee event operations from planning through successful completion.
  • Coordinate food and beverage services with banquet and catering teams.
  • Monitor event budgets, vendor invoices, purchase orders, and expense tracking.
  • Ensure exceptional guest service and promptly resolve client or guest concerns during events.
  • Supervise event staff, volunteers, and external vendors to ensure smooth operations.
  • Conduct site inspections before and after events to maintain quality standards.
  • Ensure compliance with health, safety, and venue regulations.
  • Prepare post-event reports, client feedback summaries, and performance evaluations.
  • Build strong relationships with clients, vendors, and hospitality partners to encourage repeat business.
  • Stay updated on hospitality trends, event technology, and industry best practices.

Required Qualifications

  • Bachelor's degree or diploma in Hospitality Management, Event Management, Tourism, Business Administration, Marketing, or a related field.
  • Previous experience as an Event Coordinator, Event Executive, Conference Coordinator, Banquet Coordinator, Wedding Coordinator, Hospitality Coordinator, Event Planner, or Events Specialist is preferred.
  • Experience in hotels, resorts, hospitality, tourism, event management companies, or conference venues is highly desirable.
  • Strong knowledge of event planning, banquet operations, hospitality standards, and vendor management.
  • Excellent organizational, multitasking, and project management skills.
  • Outstanding communication, negotiation, and interpersonal abilities.
  • Proficiency in Microsoft Office and event management software.
  • Ability to work flexible hours, including evenings, weekends, and public holidays, depending on event schedules.
  • Creative problem-solving skills and the ability to perform under pressure.
