Full job description

Leading international company in the field of Aesthetic Medicine for 30 years, with offices in Milan, Paris, London and Miami, is looking for a full-time Office Assistant & Administrative Coordinator for its office in Dubai.

The selected person, reporting to the Director of the ME Department, will be responsible for managing all daily office operations and administrative activities, including:

REQUIREMENTS:

  • Previous experience in a similar Office Manager, Administrative Coordinator or Executive Assistant role
  • Strong knowledge of UAE administrative procedures and regulations, particularly regarding employment visas, residency permits, medical insurance and government-related documentation
  • Proven experience managing visa applications, insurance processes and administrative compliance within the UAE
  • Fluency in English; knowledge of additional languages will be highly appreciated
  • Excellent communication and interpersonal skills
  • Excellent command of Microsoft Office and Outlook
  • Self-confident, proactive and highly organized personality
  • Strong problem-solving and multitasking skills
  • Ability to manage multiple projects simultaneously
  • Ability to work under pressure and meet deadlines in a fast-paced environment
  • Ability to handle confidential information with the utmost discretion

RESPONSIBILITIES

  • Management of all office-related activities and daily operations
  • Handling incoming calls, correspondence and emails
  • Organization of meetings, training sessions and company events
  • Welcoming clients and visitors
  • Coordination of customer pick-up and drop-off services
  • Procurement and management of office supplies and medical materials
  • Management of external errands and service providers
  • Administration of employee documentation and records
  • Management of visa applications, renewals and related documentation
  • Coordination of employee medical insurance applications and renewals
  • Liaison with UAE government entities, free zones, service providers and consultants when required
  • Ensuring compliance with UAE administrative regulations and company procedures

Working hours: Monday/Friday - 9.00am/6.00pm

Job Type: Full-time, 2 years fix terms contract
